For Ontario landlords who manage their own rentals
LeaseLab keeps rental operations structured, auditable and actionable — for you, your team, or the agent you choose.
One reliable record of rent, maintenance, decisions and outcomes. Work in it yourself, share it with your team, or let an agent you choose act through it — only within the limits you set, and with every change recorded.
Built for portfolios of roughly 1–25 residential units in Ontario. AI is optional.
One operating record
What is owed, what was reported, what is waiting on you, and what actually happened — in one place that you, your team and your agent all work from.
Rent
Each active lease generates its monthly rent obligation. You record what you have received; LeaseLab works out what is overdue and keeps track of any date a tenant promises to pay by.
Maintenance
Work orders from the first report to completion: priority from a fixed urgency check, the vendor, the appointment, and what it cost. When a case closes, LeaseLab keeps a receipt of the outcome.
Decisions
Anything that needs the owner lands in Needs your decision — a repair above your spending limit, or an escalation. When a problem keeps coming back, a strategy review asks whether to change course.
Outcomes
Every change is recorded with what happened, when, and who did it — a person on your team or an agent you authorized. Months later you can still answer “did we ever fix that?”
Safe, bounded actions — not your database
Nobody gets raw access to your records — not a team member, not an agent. Changes go through specific actions: record a payment, report a repair, complete a work order. LeaseLab checks each one against who is asking and the limits you set, then records the result.
Above your spending limit, the work stops and asks you. Nothing outside your limits happens quietly.
The agent you choose, on your terms
If you already use an AI agent, it can work through LeaseLab. You create a key for it, choose what it can read and which actions it can take, and revoke it whenever you want. Actions its key doesn’t allow are refused; anything past your limits becomes a decision for you instead.
Your records and your authority stay in LeaseLab. Change agents or AI providers and nothing is lost — revoke the old key and issue a new one. How agent access works
What you actually get
All of this works without AI and without an agent.
Rent
- Each active lease generates its monthly rent obligation automatically.
- You record payments you have already received, in whole or in part.
- Overdue is worked out from that unit’s own due day and grace period, on Toronto time.
- Record a tenant’s promise to pay by a date. If the date passes, LeaseLab marks it missed and, if you have turned on automatic reminders, sends one follow-up.
- Send a rent reminder, or record an adjustment, and both stay in the history.
Maintenance
- When a tenant reports a problem, add a work order yourself, or let an agent you authorize report it.
- LeaseLab never connects to or reads your mailbox, and your tenants never need an account.
- Priority comes from a fixed urgency check on what was reported, not from a model.
- Track the vendor, the appointment and completion. When a case closes, an outcome receipt records what was done and what it cost.
Decisions and reviews
- You set a spending limit. Work above it stops and waits for you in Needs your decision.
- Strategy reviews flag patterns worth a second look — rent that keeps arriving late, payment promises that keep being broken, maintenance costs rising against earlier periods.
- The Action Center on your home screen lists what else needs attention today.
- A monthly summary tells you what happened across the portfolio.
Optional AI
LeaseLab works without AI. Where it helps, it uses AI running on Cloudflare to suggest how to classify a receipt you upload. Suggestions don’t change your records. See your data for exactly where AI is used.
What LeaseLab does not do
Worth knowing before you sign up rather than after.
- Collecting rent. LeaseLab records payments you have already received; money never moves through it.
- Accounting, bookkeeping, owner statements, or tax reporting.
- Bank feeds, automatic reconciliation, pre-authorized debit, or Interac.
- Late-fee automation.
- A tenant portal or tenant login.
- Listing syndication, applicant screening, or contractor dispatch. You keep your own vendors; LeaseLab records the work, not the hiring.
- Reading your mailbox. LeaseLab never connects to one.
- Receiving maintenance email. Tenants report problems to you, and you or an agent you authorize record them.
- Commercial leases, or provinces other than Ontario.
Rent tracking without collecting rent
In short: LeaseLab does not collect rent and is not accounting software. Rent still reaches you the way it does today — LeaseLab keeps the record of what was owed, what arrived, and what is still outstanding.
